Collingwood entrance tree
Proposal from Cathy to take tree down to stump, decide what to do later
Clayton relays details from landscapers
Vote on removing tree passed 3-2, with 1 abstention
Vote on removing stump passed 4-2
Agree to postpone until next summer/fall what to plant as replacement
Action: Clayton to request removal by landscape company

Annual Meeting
December 8 confirmed
Cathy to inquire about Newport Library availability
Otherwise, will be held at Katie Ford’s house

Treasurer’s report
Looks like we will end net positive
Collected $6,000 in dues this year
Outstanding possible costs related to irrigation leak remains unknown
Discussion of what to do with CD—earning less than 1% interest
Motion to cash in CD when it matures at end of calendar year, 2nd, passed unanimously
Action: Lawrence to take action with bank to convert to checking at maturation
Action: Lawrence to email financial statement to Thomas for website

Reimbursement policy
Want to put in writing on website—Action: Cathy drafting reimbursement policy to circulate to board via email
Mailboxes: $250 for stanchion repair/replacement, all households must be current dues paying members, reimbursement via receipt within 12 months, at board discretion

Water bill
Still uncertain about cause of leak
Action: Lawrence to contact water company to explore problem in more detail

Bylaws
Board to review and recommend changes at annual meeting

Website
Thomas to update website with content explaining that we are voluntary, don’t require dues for purposes of escrow, etc. using Clayton’s article as a starting point
Sidewalks at entrances
Discussion about lingering sidewalk project
Action: Julie to call city to inquire about details
