WHCCA Board Meeting

May 22, 2014 - 7 PM

 

Attendance: Cathy Falanga, Thomas Uphill, Clayton Tredway, Lawrence McCrone, Katie Ford, Gayle Frisch Brown, Julie Freeman

Old Business

Thomas is trying to get log-in and other website information from Scott. He is also going to contact Jason about neighborhood boundaries and other information to add to the website. Thomas would like to set the website up in a way that will allow multiple board members to make updates. Scott has been hard to reach, but Thomas will try again.

 

Minutes Approved

 

Bank of America Signatory

Lawrence and Cathy are now signatories. Would like to add Clayton as a third. In order to add Clayton, all three will have to go to the bank, and will need to bring minutes or newsletter to prove he is on the board. Will coordinate to find a Saturday.

 

Shaloch conversation

We just realized there is a third neighborhood listed on our newsletter. We believe it is behind Collingwood.

 

Treasurer’s report

112 memberships received so far

Dave Ralph turned over QuickBooks software. Lawrence has now loaded software onto his new computer. Dave included a high level of detail. Lawrence is going to reach out to Dave to become more familiar with the software and his system.

Conversation about whether to try out online version that is easier to use.

Conversation about whether we should have online dues payment solution. Some concerns about liability. Decision to wait until website is updated in other ways.

Lawrence is re-registering with state for $10.

 

Julie noticed that we are not on the City of Bellevue neighborhood association list. She is going to contact person to get us added.

Cathy collected list of volunteers at Egg Hunt to help with events, eventually join board

Continuing and New Business

  • Liability—Julie contacted friend who is a lawyer. His advice is for us to get insurance, even though it is not required. Community Association Underwriters of America sent forms for us to fill out. Cathy will fill out forms with some input from Lawrence and Gayle. Goal is to have estimate by next meeting.
  • Egg Hunt—Heather ran a fabulous and successful event, as she always does.
  • Spring Cleanup—Gayle reported low turnout at April event. For the May event, with assistance from Mark from City of Bellevue, 15 people.
    • Discussion about only doing one cleanup with City of Bellevue next year. We also need to be clearer amongst ourselves about what is/isn’t required. Also, if Janet feels strongly about doing an event, we should support her, as long as she is willing to take the lead.
  • Sandwich signs—hard to use if there is any rain. Clayton to look into alternatives.
  • Landscaping
    • Birch tree at Collingwood entrance—Clayton will ask landscape company for estimate to have it removed.
    • Lawrence would like to get advice from landscapers for what to plant, given no irrigation at Collingwood.
    • Clayton going to look into making sure that water has been turned on by landscape company, given Gayle’s concerns that plantings look dry.
    • He will also talk to landscapers about ways to improve entrances with compost, etc.
  • Stolen Mail—Will put article in next Whispers encouraging neighbors to purchase locking mailboxes who don’t have them, given recent mail thefts.
  • Whispers—Katie to confirm with Janet, but we suspect June 13 is our deadline to get articles to Janet if we want distribution to happen June 20-27.
    • Julie to write blurb on July 4th activities, articles about SouthBellevueGrowth.weebly.com website and Newport Way sidewalks.
    • Katie to write mailbox and break-in article; blurb for Ice Cream Social Wednesday August 20 6:30
    • Cathy to write letter from president, Clayton’s bio, only phone number and email for board members
  • July 4th—Julie has submitted permit to Bellevue and put in request to Fire Department. She has also contacted balloon people. She will rent signage and order decorations from Oriental Trading Company. Julie to contact volunteers to find out if they can assist.

    • Discussion about using tickets to control access to balloon
  • Group pursuing sidewalk for Newport Way is seeking letters of support. Julie to share website with Cathy.
